Our Challenge
A well-established coaching center approached Marv Global IT with a specific
operational problem: their class schedules were still being managed manually,
communicated through printed routines and verbal announcements at the front
desk. As their student base grew, this created confusion, scheduling conflicts,
and an unprofessional first impression for prospective students and parents
visiting the center.
They wanted a live, dynamic display at their entrance — similar to a flight
information screen at an airport — showing real-time class schedules, rooms,
and batch timings, backed by a proper admin system to manage everything behind
the scenes.
Our Approach
We began with multiple on-site visits to understand their day-to-day workflow,
peak hours, batch structure, and how staff currently handled scheduling changes.
The client gave us full creative and technical authority over the system design,
with one clear requirement: it had to look and feel professional.
Based on these findings, our team designed the complete UI/UX first — including
the admin dashboard and the live entrance display — and presented it to the
client for approval before writing a single line of production code. This
design-first approach ensured zero rework on core UI decisions later in
development.
Once approved, our development team built the system using PHP, CodeIgniter 4,
Bootstrap, and JavaScript, with a focus on:
- Real-time schedule rendering on the entrance display, auto-refreshing without manual intervention
- A centralized admin panel for staff to manage batches, rooms, instructors, and timing conflicts
- A token/queue management flow to organize student check-ins during high-traffic hours
- Role-based access so front-desk staff and management had appropriate levels of control
Throughout development, we maintained continuous communication with the
client — sharing live progress updates and incorporating feedback in real
time rather than waiting until final delivery. This resulted in several rounds
of refinement based on how their staff actually used the system day to day.
Implementation & Training
Beyond development, we handled the complete on-site setup of the display
hardware and software integration at their center. Following deployment,
we conducted a full week of hands-on staff training to ensure the front-desk
and administrative team could confidently operate the system independently —
covering schedule updates, conflict handling, and day-to-day maintenance.
The Result
The coaching center now runs a fully automated, live scheduling display that
has eliminated manual routine management, reduced scheduling conflicts, and
significantly improved the professional impression made on visiting students
and parents. Staff now manage the entire class schedule through a simple
admin panel, with changes reflected instantly on the entrance display.
